Fee Structure & Payment Policy
As a public welfare-oriented study tour, we utilize a cost-plus-management-fee accounting model. Costs are calculated based on specific tour plans, group size, and itinerary, upon which management fees are determined. For collective projects organized via schools or community groups, the registration fee consists of three parts: Study Tour Project Cost Budget, VOYVUA Management Fees, and School Organization Fees. For family tours or independent groups, the fee includes only the Study Tour Project Cost Budget and VOYVUA Management Fees.
Study Tour Project Cost Budget
Detailed costs cover accommodation, meals, domestic transport in China, tickets, courses, insurance, assistant labor (excluding VOYVUA staff), and all travel expenses for accompanying teachers. It also includes materials like uniforms, bags, bottled water, bank fees, and a contingency fund (approx. 5% of direct costs). Prices are set based on current market rates in China, ranging from 400-700 RMB per day. Fees are transparent; no commissions are collected from suppliers. The use and refund terms of the contingency fund are explicitly defined in the agreement.
VOYVUA Management Fee
Calculated at 15%–25% of the Study Tour Project Cost Budget, this fee covers VOYVUA staff salaries, curriculum design, itinerary planning, and daily operations.
School Organization Fee
Recommended at 10%–20% of the Study Tour Project Cost Budget. The final ratio is negotiated between the school and VOYVUA, accounting for recruitment, parent communication, admin labor, and the international travel and service stipends for accompanying teachers.
Final Quote for Parents
Total Quote = Study Tour Project Cost Budget + VOYVUA Management Fee + School Organization Fee
Transparency & Special Terms
Cost Disclosure: Detailed budgets are shared with partner schools to ensure transparency regarding cost components. Staffing: International travel and stipends for school-appointed leaders are paid from the School Organization Fee, while their domestic costs in China are included in the Study Tour Project Cost Budget. Group Size: Even numbers are recommended, with groups ideally around 20 participants; quotes are based on this 20-person baseline. Service Duration: Services begin upon arrival at the designated location in China and end at the agreed airport/station. Early arrivals or late departures fall outside the project scope. Exclusions: Fees cover only contracted services. International airfare, personal spending, and expenses outside the agreed dates or locations are the responsibility of the participant. Ethics: School fees must be negotiated to avoid compromising the project's non-profit intent. Terms: Payments and refunds are governed by the signed agreement.
